Availity Guide

This guide walks through the process of setting up and registering on Availity for Medi-Cal claim submissions.

Written by Jareena

Availity serves as the central hub for submitting and managing Medi-Cal claims, helping you streamline billing, maintain compliance, and ensure timely reimbursement for the care you provide.

Please note: When establishing your Availity account, be sure the information entered aligns with the information associated with your LEA or CBO’s information submitted on the organization’s National Provider Identification (NPI). This information can be found at the NPPES NPI Registry website.

Additionally, confirm the NPI Authorized Official and phone number are up to date, as Availity will contact the Authorized Official listed on the organization’s NPI Type 2 to verify personnel prior to authorizing the Availity account.

Creating an Account

Go to the Availity website and click on the “Create Account” under “Healthcare Provider.”

You’ll need to follow all the steps to create an account.

Part of this setup includes choosing your Security Questions:

After completing the account setup, you’ll receive an email to verify your account.

After logging in for the first time using that link, you will need to set up 2-Step Authentication.

You will need to use an authenticator app on your phone. Most people have luck with the “Authenticator” app from Google. Then, follow the instructions to set this up.

On the next page, you will enter the code generated by your authenticator app. You will then be provided with a set of backup codes, which should be saved and stored securely. For example, in a password manager or as a securely saved photo on your phone.

Navigating through the following terms-of-service pages will land you on this page. You will need to select the middle option.

You’ll be fully logged in, but you’ll now need to register your LEA/Organization. This is a fairly intensive process with many questions. You will have to verify your own identity as a part of the security checks Availity has in place.

After you select “Register an Organization,” Availity will want to confirm that your organization does not already have an account with them. If you do not already have an Availity account, select “None of these apply. Add New Organization.”

Availity will then want to confirm that you are the Administrator for your organization. Select “I’m the Administrator. Verify My Identity.” You will then be asked a series of identification questions to verify your identity.

After verifying your identity, you will be asked, “What do you do the most?” There is a dropdown list of different role types. Since these role types do not align closely with school-based employees, please select the option that is closest to your responsibilities. Then enter the best phone number for Availity to contact you.

When asked “What type of organization are you registering?” select Healthcare Provider or Health Service Provider. Enter your Tax ID type and your Tax ID number.

Select “Local Education Agency” as your Primary Specialty/Taxonomy. Then select “This organization has an NPI.” You will then input your organization’s NPI in the box.

Enter your organization’s primary address and phone information. Payer region will be the state(s) in which you operate.

Make sure to check the box that says “We need to securely exchange batches of EDI files with payers using Availity’s SFTP.”

Stop after this step as Availity usually takes 3-5 business days to approve the creation of the organization.

If Your Availity Account Application is Rejected

Please contact Availity directly between their business hours Monday through Friday from 8am to 8pm EST.

Granting TadHealth Access to Availity

After your Availity account has been approved, you’ll need to grant TadHealth access. Please select the drop down next to your name (in the top right corner of the screen), and select “Invite Users.”

In the next page, you’ll need to enter Gav Moreno, Brendan Duncan, and Zoltan Kurczveil (TadHealth Integration Engineer and leadership).

• Brendan Duncan [email protected]

• Zoltan Kurczveil [email protected]

• Gav Moreno [email protected]

You will also need to select “Assign Roles” and select all of the options in the next page. This can be done by clicking the box next to “Roles” near the top of the list. This should be done for all three individuals, Brendan, Zoltan, and Gav.

After Saving the Role Assignments, you’ll just need to click on “Send Invitation.” Please let your TadHealth team know this has been done, so they can ensure visibility of the LEA on their side.

If you have any questions, please reach out to [email protected] for more support or use the Support Widget on this page.
